This Privacy Policy explains what information the TutSync mobile app and related web app (together, the "Service") collect, how we use it, and the choices you have. By using the Service you agree to this policy. TutSync is a learning-management platform for academies and coaching centers; most personal data is entered by an academy's administrators and teachers to run their institute (for example, adding students and recording attendance and fees).

1. Information we collect
a. Information you provide
- Account details: your mobile phone number (used to sign you in), your name, and — optionally — your email address.
- Academy details: when you create an academy, its name, address, and contact email; when you join one, the invite code and your role.
- Records you enter: as an admin or teacher you may add other people (students, teachers, guardians) and create classes, timetables, attendance records, fee plans and payment records, and announcements. This may include other people's names, phone numbers, roles, and fee/attendance history.
b. Information collected automatically
- Authentication tokens stored securely on your device to keep you signed in, plus a locally cached copy of your profile and preferences.
- Technical/log data ordinarily processed when an app calls a server — such as IP address, timestamps, and error/diagnostic information — used to operate and secure the Service.
c. What we do NOT do
- We do not include third-party advertising, analytics, or tracking SDKs in the app.
- We do not collect your device location.
- We do not sell your personal information.
- We do not process card or bank details in the app. "Fees" and "payments" are records entered by academy staff to track dues; the app does not take real payments.
2. How we use information
We use personal information to:
- verify your identity and sign you in via a one-time password (OTP);
- provide the Service's features (classes, attendance, fees, announcements, directories, and role-based access);
- keep you signed in and remember your active academy and preferences;
- secure the Service, prevent abuse, and troubleshoot problems;
- comply with legal obligations.
We rely on your consent and on our legitimate interest in operating the Service; where you enter data about others, you confirm you are authorized to do so.
3. How information is shared
We share personal information only as needed to run the Service:
- Within your academy: your information is visible to authorized members of the academies you belong to, according to their role.
- OTP / messaging provider: to deliver login codes, your phone number is sent to our SMS/WhatsApp delivery provider.
- Hosting & infrastructure providers: who store and process data on our behalf under contract.
- Legal reasons: if required by law, or to protect rights, safety, and the integrity of the Service.
We do not sell personal information or share it for cross-context behavioral advertising.
4. Children's and students' data
TutSync is intended to be operated by academies and their adult staff. Some individuals recorded in the Service (students) may be minors.
- Records about a student are added and managed by the academy's authorized staff, who are responsible for having the necessary consent (including verifiable parental/guardian consent where the law requires it) before entering a minor's personal data.
- We process minors' data only to provide the Service to the academy and do not use it for advertising or profiling.
- If you believe a minor's data has been provided without proper authorization, contact us at frencel2023@gmail.com and we will delete it.
Academies are responsible for compliance with applicable children's-data laws (for example India's Digital Personal Data Protection Act, 2023; and, for users in other regions, laws such as COPPA or the GDPR).
5. Data retention
We keep personal information for as long as your account or your academy's account is active, and as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements. When data is no longer needed we delete or anonymize it.
6. Your rights and choices
Depending on your location you may have the right to access, correct, export, or delete your personal information, and to object to or restrict certain processing. To exercise these rights, contact frencel2023@gmail.com.
Account & data deletion. You can request deletion of your account and associated personal data at any time on our account deletion request page, or by emailing frencel2023@gmail.com. We will process verified requests within 60 days, subject to data we must retain for legal reasons. Note that records you created inside an academy may be retained by that academy as its own controller.
7. Security
We protect information with measures appropriate to its sensitivity, including encryption in transit (HTTPS/TLS), encrypted on-device storage of session tokens, and access controls. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
8. International transfers
Your information may be processed in countries other than your own. Where required, we use appropriate safeguards for such transfers.
9. Changes to this policy
We may update this policy from time to time. We will change the "Last updated" date above and, for material changes, provide a more prominent notice.
